How does Thynk's Event Manager check function space conflicts and overbooking?
By Thynk· Published · Updated
Thynk's Event Manager runs the same conflict check whenever events are created, edited or cloned. Colour-coded statuses (inquired, nonholding, holding, confirmed, cancelled) decide which events hold space, and Thynk validates capacity and flags any overbooking so you can choose another space or a nonholding status.
Full answer
Thynk's Event Manager uses a fast overbooking process that checks function space conflicts the same way whether you create, edit or clone an event, or clone a whole booking. It supports both first-come, first-served selling and backup or second-option offers, and it keeps the function diary quick to load.
Every event has the status you see plus a background overbooking status that decides whether it counts in conflict checks. Statuses are colour coded to match your property's configuration:
- Inquired (blank) never holds space and suits early-stage enquiries.
- Nonholding (grey) is past enquiry but doesn't hold space, for example a waitlist or backup offer.
- Holding (green) holds the space as a first or exclusive option while an offer is out.
- Confirmed (green) is a signed event using the space.
- Cancelled (red) no longer counts.
Your property may use its own status names, such as Optional for a holding status.
As you work, Thynk validates guest numbers against the space's maximum capacity or capacity by setup. If a combination of timing, function space and status would overbook a space, Thynk flags it on the event, and hovering over the marker shows the details. You can then pick another space or switch the event to a nonholding status, such as waitlist.
